Who is A Foot in The Door?
Design Challenge
Recruiting Dashboard
A Foot in The Door is a company that helps younger talent find professional opportunities. The Organization has two types of customers- candidates with 0-5 years of professional experience looking for job opportunities and companies looking to hire talent. A Foot in The Door empowers younger professionals by highlighting their personalities in the application process.
Our team was asked to develop a recruiting dashboard that met the following criteria; allowed recruiters and hiring managers to create upload and track job postings, look at applicant profiles and filter them by key words, communicate with applicants and prospective hires, and view all data on their activities.
Planning
Project Plan
To create an effective project plan for our 3-week sprint, we divided our timeline into six key phases: Planning, Research, Ideation, Wireframing, Prototyping, & Review / Documentation. From here we backed into critical tasks, key milestones, and activities (see project plan here). We then leveraged Jira for daily task management.

We conducted 12 interviews with applicants, hiring managers and recruiters. See the breakdown of our interviewees below:

Research Synthesis
Key Themes & Personas
The interviews uncovered some key trends:
1. Clear and regular communication is important to hiring managers, recruiters and applicants
2. Current dashboards were not meeting recruiter and hiring manager's needs
3. There are challenges faced by recruiters and hiring managers that was affecting their time to fill
We leveraged information received from our participants to create our two key personas; Recruiter Rebecca and Applicant Adam.
We used all of our research insights to arrive at the following problem statement:
Problem Statement: Hiring Managers and Recruiters need a better way to streamline candidate evaluations, improve team collaboration, and enhance efficiency in finding qualified candidates to optimize the recruitment / hiring process.
Ideation

To start to conceptualize what this solution would look like, we conducted a series of design studio sessions. From this exercise, our design lead put together the following sketches for our login page and recruiting dashboard.

There were a few features that were important to our target users that we incorporated into our dashboard wireframe: real-time metrics, direct messaging with applicants, and visualization of metrics (see visuals below).

Job Listing Detail Page & Candidate Profile
We used secondary research to validate what should be incorporated into our job listing detail and candidate profile pages. Looking at external job sites, we knew that certain inputs needed to be included in the job listing detail page; position title, position details, required skills, required education, etc. When building out the candidate profile, we knew contact details, resume information and relevant documentation would need to be visible / accessible. From user interviews, we also knew that recruiters needed quick visibility into where a candidate sat in the hiring process.

Testing
Usability Testing
To ensure that our design effectively met our target audience's needs, we reached back out to our interviewees and asked them to participate in usability testing. We conducted 6 usability tests where the users were asked the following:

How would you see another metric in the form of a pie chart?

How would you open a new position?

How would you see the job you just created with other listings?

What did you like and not like about the web app?
During the tests our team tracked time it took to complete the task, whether they were able to complete the task or not (pass / fail), and easiness rating. The key insights from these tests are shown below:
User Feedback
Prototype Updates
We got most of our insights / information from usability testing when we asked the last question: What did you like and not like about our web app? Based on the design principle of proximity, a user pointed out that we should flip the positions of the "Add Candidate" and "Add Position" buttons on the home dashboard (see below).

For the job listing detail page, users recognized that there was some key information missing. Key categories such as required education and compensation were initially missing from our design and were added to the updated version below (see below).

For the candidate profile page, users recognized that we were missing some key demographic / identification information for users. Things like preferred pronouns, email, and ID number were not initially included. Our team also recognized that we were missing the candidate's personal video in our profile, so we added this to the design below as well.

This feedback helped us to finalize our design for our AFITD dashboard where we aimed to streamline candidate evaluations, increase the collaborative nature of these evaluations and enhance the overall efficiency in finding qualified candidates.
